A. Conduct of Exhibitor: Every participant shall ensure that their booth is open to view and staffed by competent representatives during exhibition hours. The PMFAI reserves the right to stop any activity on the part of any participant that may cause annoyance to other participants. Business must be conducted only from the participant’s own exhibiting area and under no circumstances may this be carried out from an aisle or elsewhere within the exhibition. Every participant, and all persons for whom they may be responsible, must conduct themselves in an appropriate manner.
Sponsor hereby grants to PMFAI a non-exclusive license to use the sponsor logo solely in connection with the sponsorship and the event. Sponsor will provide all artwork and other reasonably necessary information, as requested by PMFAI. During the term of this agreement, sponsor will have the right to indicate to the public that it is a sponsor of the event. Nothing herein grants or is deemed to grant to sponsor any right, title, or interest in or to the event or any other PMFAI products, services, or intellectual property.
In the event that the sponsor changes the company logo at any time during the term, the sponsor agrees that PMFAI shall not be obliged to make any consequential changes to materials that include the sponsor logo produced by the organizer/marketing partner in connection with the event (including, but not limited to, reprinting promotional literature or publicity material) until written notice and updated logo are provided. The sponsor will not hold the organizer/marketing partner liable for any damages if such updates are not timely informed.
The sponsor acknowledges and agrees that they shall be solely responsible for all costs related to attendance at the event (including, without limitation, travel costs, temporary staff, stand setup, and all costs incurred in exercising the sponsor benefits). The sponsor shall promptly comply with all reasonable instructions and directions issued by or on behalf of the organizer/marketing partner in connection with the event and its promotion (including venue usage).
The organizer shall not be responsible for any failure or delay in providing any of the sponsor benefits where such failure occurs due to the sponsor’s failure or delay in complying with any reasonable instructions. The sponsor shall not do or omit to do (and shall ensure their employees, agents, or contractors do not do or omit to do) anything that may:
The organizer shall provide the sponsor benefits and organize the event using reasonable skill and care, and will consult with the sponsor’s representative (as set out in the sponsorship contract) where appropriate. The sponsor benefits are personal to the sponsor’s company, and PMFAI is not obliged to provide these benefits (or any part of them) to any other entity or person.
Upon registration, each participant will receive a badge bearing their name and company name on the registration day. Pre-registration is mandatory; no on-spot registration is allowed. Badges must be worn within the exhibition area and hotel premises as identification and as entrance passes to conference activities.
For security reasons, the organizer cannot allow persons without badges to take part in any conference function or enter the exhibition area. PMFAI reserves the right to cancel the registration of any participant whose behavior may cause annoyance to other attendees.
Registration information will be sent to registered delegates by email at least seven days prior to the event. Any delegate not receiving the information should contact adeshpande@pmfaiindia.org.
All bookings made prior to the conference must be paid in full to guarantee registration. Once payment is received, an email confirmation and a receipted invoice will be sent. If payment is not made at the time of booking, registration will remain provisional.
Bookings received less than two weeks before the conference date can only be paid by cash, cheque, or credit card. To qualify for any “early bird”rates, booking and payment must be received before the deadline date listed in the conference promotional material.
Views expressed by speakers are their own. PMFAI cannot accept liability for advice given, or views expressed, by any speaker at the conference or in any material provided to delegates.

Business must be conducted only from the Table Top holder’s own space and under no circumstances from an aisle or elsewhere within the exhibition. Every participant, and all persons for whom they may be responsible, must conduct themselves in an appropriate manner.
All local, state, and country laws shall be observed during the Exhibition & Conference at the venue. The participant shall observe all safety regulations of the landlord, directives by security personnel, and PMFAI. The participant shall be liable for all damage to persons or property or economic losses caused by booth equipment, exhibits, or employees acting on its behalf.
PMFAI and its affiliates and their respective directors, officers, agents, marketing partners, and employees will not be liable for any loss or damage to a participant’s property. The participant assumes responsibility and agrees to indemnify and defend PMFAI and its affiliates against any claims or expenses arising out of the use of the exhibition venue.
PMFAI and its affiliates are not liable for and are hereby released from any claims, liabilities, losses, or expenses arising from injury to participant personnel or loss/damage to property in connection with participation in ICSCE Event INDIA 2023. The participant shall be responsible and agrees to indemnify and hold harmless PMFAI and its affiliates from all such claims, including reasonable attorney’s fees and litigation costs.
The participant agrees not to contract or use any service in connection with their exhibit at the venue unless such services are approved by PMFAI at least 30 days before the exhibition opens. The participant must supply PMFAI with the name of any person or organization proposed as an Exhibitor Appointed Contractor (EAC) for services.
PMFAI will promptly notify the participant of approval or disapproval of such selections.
The exhibition space must be returned by the participant in the same condition as it was handed over. No nails, screws, or other fixtures may be driven into any part of the Exhibition Venue, including the floors. Any damage to the exhibition space or halls (structure, floor, cables, ducts, etc.) will be repaired at the participant’s expense. If the booth is not cleared in time, PMFAI may remove and store the goods at the participant’s expense. PMFAI shall assume no liability for any exhibits left behind.
If any participant fails to observe or perform any provision of the contract, PMFAI reserves the right to terminate the contract immediately by written notice. All monies paid shall be forfeited and retained by PMFAI. The participant shall indemnify PMFAI, its affiliates, directors, officers, agents, marketing partners, and employees for any costs, losses, damages, or expenses (including consequential loss or attorney’s fees) incurred.
PMFAI reserves the right to cancel, abandon, or suspend the Exhibition & Conference in whole or in part if there is insufficient support for the event. The decision of PMFAI shall be final. If the event is cancelled, participants will receive a full refund minus any banking charges, or they may apply the amount to another PMFAI event within 1 year.
PMFAI is not liable for any losses from substitution, alteration, cancellation, or postponement. A fortuitous event—including war, fire, labor strike, disease outbreak, extreme weather, or other emergencies—may make the event impracticable or impossible in the organizers' opinion.
If the event is cancelled due to circumstances beyond PMFAI's reasonable control and not rescheduled, a refund will be issued to sponsors minus any reasonable marketing-related expenses already incurred.
PMFAI will use all reasonable efforts to ensure the provision of services by the venue landlords and any service providers mentioned in the exchanged emails. However, PMFAI shall not be liable to any participant for loss or damage if such services partially or fully fail or cease to be available. No allowance or refund shall be granted for monies paid or due.
Participants are advised to regularly review floor plan updates for changes to their own location or nearby booths. PMFAI anticipates changes to the initial printed layout and shall not be held responsible for layout adjustments that may affect a participant’s selected space. If a major change impacts a specific exhibitor, PMFAI will notify them directly.
Participants agree not to assign, sublet, or share their contracted space, or any part of it, nor exhibit or promote any products or services other than those regularly offered by their own company in the ordinary course of business. Articles required for the operation of displays may be shown, but only with standard identification (e.g., nameplates or imprints). Non-exhibiting company personnel are not permitted in the booth, except for the participant’s own dealers or official representatives.
In the event that participation is cancelled or a portion of the contracted Exhibition Space is withdrawn, the person or company must notify in writing. Cancellation fees are applicable as follows:
Cancellation must be submitted in writing. The date of receipt determines the applicable deadline. This contract is binding only after acceptance by PMFAI via countersignature and issuance of a Booth Confirmation Notice.
The Exhibitor agrees to adhere to all rules including those in the Terms and Conditions, Display Construction Guidelines, Exhibitor Manual, and any correspondence or notices from Show Management. In case of conflict, this contract for Exhibition Space shall take precedence.
By providing an email address, the undersigned consents on behalf of the company/organization to receive ICSCE-related emails from PMFAI and its authorized service providers.
If a sponsor cancels their package for any reason, the sponsor remains responsible for the entire sponsorship fee. If a replacement sponsor is secured and registered with full payment, PMFAI will refund 85% of the original amount to the original sponsor. PMFAI is not obligated to assist in finding a replacement. Refunds will be issued within 45 days after the event concludes.
Delegates may nominate a replacement from the same organization up to 7 days before the event at no extra charge. If substitution is not possible, the following cancellation fees apply:
All cancellations and substitutions must be made in writing. No-shows will be charged 100% cancellation fees.
This contract shall be governed by the laws of Mumbai, Maharashtra, India, without regard to conflict of law provisions. Any legal action must be filed in the courts of Mumbai City, and the participant agrees to submit to the jurisdiction of those courts.
Payment for all participants is due within 10 business days of registration. If payment is not received within this period, registration is subject to automatic cancellation. In such cases, participants may be barred from booking Exhibitor or Sponsorship opportunities in the future, at PMFAI’s discretion.
Booth/Table/Sponsorship packages booked under the early bird rate must be paid in full before the rate expires. If paid after the deadline, the current rate will apply.
PMFAI will issue invoices based on their internal system. No custom or special invoice formats will be provided to participants.
In such cases, the participant cannot claim any compensation. If applicable, removed items will be returned unless under third-party claim.
PMFAI reserves the right to alter the conference program, venue, and timings. In case of full cancellation due to reasons beyond PMFAI's control, delegates will receive a full refund. PMFAI's liability is limited to the fee paid by the delegate. If the event is postponed or rescheduled, PMFAI shall not be liable for any incurred losses or damages. The booking will remain valid and subject to the original cancellation policy.
“Confidential Information” refers to any proprietary or sensitive information disclosed by PMFAI to the sponsor, whether written, oral, or visual, and either marked or reasonably understood to be confidential. This includes, but is not limited to, event details, sponsorship terms, marketing plans, and customer data. Such information must not be disclosed or misused.
By registering, delegates consent to being contacted by PMFAI or its marketing partners. Names and company details will appear on the delegate list for networking purposes only. Contact information will not be shared externally beyond the organizing entity.
The organizer will not be responsible for any financial losses incurred by participants due to their participation or non-participation in the event. Participants agree to indemnify the organizer and its representatives against any such losses.
No refunds will be provided in the event of visa refusal. The organizer bears no responsibility for any such outcome from visa authorities.
